How to Track Nanny Hours, Mileage, and Expenses Without a Spreadsheet

If you employ a nanny, you've probably tried a notebook, a notes app, or a spreadsheet to keep track of hours and miles. And if you're a nanny, you've probably had to remind a family about a reimbursement more than once. Here's a simpler way to keep everyone on the same page.

Why tracking gets messy

Most households track hours in one place, mileage in another, and receipts in a camera roll. At the end of the week someone has to piece it all together from memory — and the extra hour from date night or the drive to swim class is the first thing to slip.

That's not anyone being careless. It's a household problem: there's no single place both sides can see.

Agree on the setup first

  • Hourly rate, plus any overtime or overnight rate
  • How mileage is reimbursed (a per-mile rate you both agree on)
  • What counts as a reimbursable expense, and how receipts are shared
  • How time off is requested and approved
  • When the weekly summary is due and when pay goes out

Log things as they happen

The most reliable record is the one made in the moment. Clock in when the shift starts, log a trip when it's driven, and snap a photo of the receipt at the register. Reconstructing a week on Friday is where mistakes come from.

Close out the week with one report

Instead of three separate tallies, roll hours, mileage, and expenses into one summary that both sides review. When the math is done at the rate you set, there's nothing to argue about — and nothing to forget.

How Juniper helps

Juniper gives nannies shift clock-in and out (with location confirmed only during a shift), mileage logging, expense photos, and PTO requests. Everything rolls into one payroll report automatically calculated at the rate you set — so no math is involved, and both sides see the same numbers.
